Privacy Policy

This Privacy Policy describes how CMEN, a sole proprietorship operating in Los Angeles County, California ("CMEN," "we," "us," "our"), collects, uses, and discloses personal information when you visit our websites (www.cmen.org and springregistration.cmen.org), register for events, or otherwise interact with us.
We respect the privacy of our community. The information we collect is the minimum needed to operate event registrations and communicate with attendees.
1. Information We Collect
Information you provide directly:
- Name, email address, mailing address, and phone number (at registration)
- Date of birth or age verification (for 21+ eligibility)
- Payment card details (entered directly into our payment processor's secure form; see Section 3)
- Dietary, accessibility, or other special accommodation requests
- Voluntary communications you send us
- Membership sign-ups, donations, and newsletter subscriptions you submit on our site or at event checkout (name, email, and — for members — city/region and membership status)
Information collected automatically:
- IP address, browser type and version, device type, operating system
- Pages visited, time spent, and referring URLs
- Cookies and similar technologies (see Section 6)
We do not collect information from children. CMEN events are 21-and-over and our Services are not intended for anyone under the age of 18.
2. How We Use Your Information
We use the information we collect to:
- Process your event registration and payment
- Process optional membership dues and donations, and send the related receipts
- Send newsletter or community updates to subscribers who opt in
- Send order confirmations, receipts, and event details
- Communicate event updates, schedule changes, and reminders
- Verify age and eligibility at registration and event check-in
- Respond to your questions and support requests
- Comply with legal obligations, tax reporting, and law enforcement requests where required
- Defend against fraudulent transactions and chargeback disputes
- Improve our Services and event programming
We do not use your information for behavioral advertising. We do not sell your personal information.
3. Payment Information
Payment card details are entered directly into a hosted form provided by our payment processor. CMEN's servers do not see, store, or transmit your full card number, CVV, or PIN. We retain only a transaction identifier and the last four digits of the card for refund processing and chargeback defense.
4. How We Share Your Information
We share personal information only as follows:
- Service providers who help us operate the Services (payment processor, email service provider, web hosting, registration platform). These providers are contractually bound to use your information only to provide services to us.
- Event venues, when necessary to coordinate logistics (e.g., overnight rooming lists). We share the minimum necessary information and require venues to keep it confidential.
- Law enforcement or regulatory authorities when required by subpoena, court order, or applicable law.
- In connection with a sale or transfer of the business (if applicable in the future).
We do not sell or rent your personal information to third parties for marketing purposes.
5. Data Retention
We retain registration records for at least seven (7) years following the relevant event, to meet tax, accounting, and chargeback-defense obligations. Your date of birth is stored as part of your registration record and is treated as sensitive personal information; we retain it for the same period as the registration record.
Membership and donation records (including the payment transaction identifier and amount) are retained for the same seven-year period for tax, accounting, and chargeback-defense purposes. Newsletter subscriptions are retained until you unsubscribe.
Automatically-collected web analytics data (IP address, browser metadata, pageview logs) is retained for up to twenty-four (24) months and then deleted or anonymized.
You may request deletion of your information at any time (see Section 7), subject to the retention obligations above.
6. Cookies and Similar Technologies
Our Services use cookies and similar technologies to:
- Maintain your registration session
- Remember preferences
- Measure aggregate site traffic and improve performance
You can control cookies through your browser settings. Disabling cookies may impair the registration checkout flow.
We do not use third-party advertising cookies.
7. Your Privacy Rights
California Residents (CCPA / CPRA)
Under the California Consumer Privacy Act, you have the right to:
- Know what personal information we collect about you and how we use it
- Access a copy of your personal information
- Delete your personal information, subject to legal retention requirements
- Correct inaccurate personal information
- Opt out of the sale or sharing of personal information. CMEN does not sell or share personal information for cross-context behavioral advertising.
- Non-discrimination for exercising your rights
- Limit the use and disclosure of sensitive personal information to purposes necessary to provide the requested services. CMEN does not use or disclose sensitive personal information for purposes beyond those identified in this Privacy Policy.
To exercise these rights, email privacy@cmen.org with the subject "California Privacy Request." Verification typically requires matching your request to the email and order details on file. We will respond within forty-five (45) days of a verifiable request. Where reasonably necessary, we may extend the response period once by an additional forty-five (45) days, and will notify you of any such extension and the reason within the initial forty-five (45) day period.
You may designate an authorized agent to make a request on your behalf. We will require written authorization from you and may verify the agent's identity. We may deny a request from an agent that does not submit proof of authorization.
Other Jurisdictions
If you are located outside California, you may have similar rights under your local law. Contact privacy@cmen.org to exercise them.
California "Shine the Light" Disclosure
California Civil Code §1798.83 permits California residents to request information regarding our disclosure of personal information to third parties for those third parties' direct marketing purposes. CMEN does not share personal information with third parties for their direct marketing purposes. To make a Shine the Light request, email privacy@cmen.org with the subject "Shine the Light Request."
8. Security
We use commercially reasonable technical and organizational measures to protect personal information, including HTTPS encryption, access controls, and PCI-DSS compliance for payment data (SAQ-A scope, as card data is handled exclusively by our payment processor).
No method of transmission or storage is perfectly secure. We cannot guarantee absolute security but we promptly investigate and respond to any suspected security incident.
9. Confidentiality of Attendee Identity
As a private men's social organization, CMEN treats attendee identity as confidential community information. As a matter of policy, CMEN does not publish attendee lists or confirm individual attendance to outside inquirers, and requires staff and volunteers to maintain attendee confidentiality, except as required by law or as described elsewhere in this Privacy Policy.
10. Children's Privacy
CMEN events and Services are exclusively for adults 21 and over. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, contact privacy@cmen.org and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The "Effective Date" above will reflect the most recent revision. Material changes will be communicated by email to registered attendees.
